To make a public records request, email PRARequests@CalSAWS.org.

To enable staff to respond to your request as efficiently as possible, please be specific and detailed regarding the records you are seeking. For example, information such as the title of a document, report number, or a date range(s) are helpful. Please do not include any confidential information, such as birthdate, social security number, etc.

If your request is not clear, CalSAWS will assist you to make a focused and effective request that reasonably describes an identifiable record or records.

Provide contact information or arrange to call or meet with a CalSAWS representative at a later time to discuss the availability of the requested records.

CalSAWS is not required to compile data, gather information, perform research, or otherwise create a record that does not exist or that is not maintained in the normal course of business.

CalSAWS will determine within ten (10) days whether the requested records are in the possession of CalSAWS and if the records, in whole or in part, can be disclosed. CalSAWS will notify you in writing of the determination. In case of unusual circumstances, such as a voluminous amount of separate and distinct records must be examined, CalSAWS may extend the time in which you are notified of the determination by fourteen (14) additional days. Notice of the extension will be in writing stating the reasons for the extension and the date on which a determination is expected. If the request is denied, the written response will state the reasons for the denial.

CalSAWS reserves the right to withhold documents that are exempt from disclosure under California law. If CalSAWS determines that some or all of the requested records are exempt, you will be informed of the basis for this determination.
